Health & Safety Policies

Includes COVID-19 Safety at our Weekend Events & Residential Camp

This policy is subject to change if the number of COVID-19 cases begins to rise rapidly in Massachusetts. Please get in touch with us to check what the policies are for a specific event.

Afterschool classes and day camps hosted by our community partners follow the partner program’s rules.

The following protocols are specific to LAP weekend events, residential camp, HS LARP classes, and guild nights but for simplicity will be referred to as events for the rest of this page.

Please Note: We only refund tickets within the first 48 hours after purchase. For this reason, we recommend participants take extra precautions (e.g. social distancing and masking) for the two weeks leading up to the event. Read our Refund & Cancellation policies.

    General Policies

    Vaccination

    • Vaccination is optional but highly encouraged.
      • LARP Adventure Program respects your right to choose whether or not to get your youth vaccinated against COVID-19. However, we request that you inform us if your child remains unvaccinated for health reasons so we can plan accordingly.
      • Vaccination does not entirely prevent the spread of COVID-19. However, it has been proven to significantly reduce some individuals’ chances of hospitalization and long-term side effects. For this reason, we may use stricter safety measures to prevent transmission to unvaccinated youth during our events. These measures will be determined before the start of each specific event.

    Masks

    • Masks are optional for vaccinated participants both indoors and outdoors. However, they are highly encouraged especially in times when case numbers surge.
    • Unvaccinated participants are required to mask indoors but outdoor mask requirements will be determined before the start of each specific event.

    Overnight Events & Sleeping Arrangements

    • ALL participants, regardless of their COVID-19 status,  are required  to present a photo of a negative COVID-19 test at drop off AND to email that photo to office@larpadventureprogram.com
      • Please note: Emails may be received after the event’s start, so bringing a picture to present at drop-off is required as it will streamline the check-in process.
      • The photo must include the date and time of the test.
      • Test results must be taken within 24 hours of the drop-off time, preferably 3-4 hours before drop-off.
    • We will conduct daily wellness checks on ALL participants of our overnight and residential events. Participants will be asked to take a rapid COVID-19 test if symptoms are detected. If the test is positive, the participant will no longer be able to participate in the event. We will contact the youth’s parents to pick them up.
    • Participants and those rooming in group accommodations (tent or cabin) who develop symptoms will be removed to a tent and asked to wear a mask whether or not they test positive for COVID-19.
    • Unvaccinated participants must provide negative COVID-19 rapid tests at check-in and each morning of the event. In addition, unvaccinated participants must bring their antigen tests from home.

    Other health issues

    • COVID-19 is not the only illness that can make its way through an event infecting multiple attendees (flu, chicken pox… etc.). Therefore, we request that anyone actively symptomatic of any illness stay home.

If you have been exposed to COVID and…

    • you have no symptoms you may attend an event that is scheduled less than 10 days from the date of exposure under the following conditions:
      • Masks must be worn inside and outside when in close contact with other participants during the event.
      • We will require a photo of a negative COVID-19 test to be presented at drop off AND emailed to office@adminlarpadventureprogram-com
        • The photo must include the date and time of when the test was taken.
        • Test results must be taken within 24 hours of the drop-off time, preferably 3-4 hours before drop-off.

Please note: The above protocols are based on the date of last exposure, and we consider that date to be day 0.

If you test positive for COVID-19 before an event

You may not attend any of our events for 5 days from the date of your first positive test (whether or not you have had symptoms). The day you test positive is considered day 0.

After 5 days, you may be allowed to attend an event if you can meet all of the following criteria:

    • You have tested negative with a rapid antigen test and sent a photo of those results to office@larpadventureprogram.com. The picture should be sent to us as soon as possible so we can arrange for you to attend the event safely.
    • We will also require a photo of the negative COVID-19 test to be presented at check-in.
      • The photos must include the date and time of when the test was taken.
      • Test results must be taken within 24 hours of the drop-off time, preferably 3-4 hours before drop-off.
    • You have not had a fever for 24 hours and have not taken fever-reducing medications during that time.
    • Your other symptoms have also abated
    • You must be able to wear a mask when around others, except when eating, for the duration of the event. (We will arrange for meals to be eaten safely based on weather conditions, available space, etc.)

We recommend Binax and iHealth at-home or school-administered tests.
